Data retention and deletion
This page describes the retention behavior implemented by MaterialDock today, including what the product does not yet automate.
Active subscriptions
Company records, immutable history, and source documents remain available while subscription access is active, subject to normal archival and voiding workflows.
After access ends
The standard retention window is 90 days. Company data becomes read-only, and the Owner can generate full exports throughout that window. Export links expire after no more than 72 hours and can be renewed before the retention deadline.
No automatic permanent deletion
Reaching the retention deadline stops new export generation and download authorization. MaterialDock does not currently promise or perform automatic permanent deletion. Data remains read-only until a reviewed deletion process—including warnings, holds, backup expiry, and completion evidence—is implemented.
Operational records
Company audit history is retained with the company record. Ordinary application logs in MaterialDock's direct archive target 30 days, and security-oriented operational logs target 90 days. Those targets do not establish deletion from every provider copy. Staging currently has seven days of displayed Railway log history and 90-day Better Stack error retention; production logging and provider deletion timing must be verified before public launch.
Provider and backup copies
Database backups, independent file backups, email-delivery records, billing records, fraud-prevention information, optional extraction records, legal holds, and provider account records may follow separate schedules. The final Privacy Policy and subprocessor register must identify the verified production providers and applicable schedules before public signup is enabled.
